Job Type: Full Time, non-exempt

Pay: $17.50 hourly

POSITION SUMMARY

The Client Engagement Specialist is the first impression for Kitsap Community Resources to the community. You will be primarily responsible for greeting individuals, answering questions regarding programs, facilitating client care, and directing individuals to the appropriate departments. This position provides support to multiple programs and individuals. This person must consistently demonstrated positive customer service skills; excellent oral and written communication skills; strong telephone etiquette; personal organization and filing skills; the ability to quickly switch between tasks; and the ability to maintain a calm and professional demeanor. Additionally, this position requires the ability to demonstrate compassion and concern for low-income people and diverse clientele who come to KCR for services and assistance.

DUTIES & RESPONSBILITIES

  • Greet all individuals in a friendly and professional manner.

  • Complete tasks using a Microsoft Windows based computer and MS Office applications.

  • Answer questions and identify visitor needs, and direct them appropriately.

  • Direct individuals to the appropriate departments as necessary, providing the essential information via phone, in-person, email or other methods to ensure connection.

  • Answer and route calls, take clear and concise messages ensuring their appropriate and timely delivery. Answer phone messages within 24 business hours of receipt.

  • Ensure all visitors sign in and out.

  • Follow established procedures for opening and closing the lobby to the public, coordinating with facilities on schedule and security procedures as necessary.

  • Process all incoming and outgoing USPS and inter-office mail, including receiving and signing for packages then routing them appropriately.

  • Operate and maintain office machines including copier, fax, scanner, computer, and multi-line phone system.

  • Maintain and communicate the scheduling of multiple group meeting spaces ensuring accuracy and timeliness.

  • Serve as a representative of multiple departments assisting with filing documentation and organization systems.

  • Process, order, and track office supplies or equipment for multiple departments.

  • Maintain cleanliness of mail room, reception area, and lobby.

  • Proactively seek information about agency wide KCR programs and provide that information to visitors, seek guidance from leadership when necessary.

  • Observe activities inside and outside of the building during normal operations creating documentation of any and all security concerns, and report to the appropriate authority.

  • Assist other departments as necessary with specialized, administrative projects.

  • Take a proactive approach to identify and complete other necessary tasks for the betterment of the position and department.

  • Attend required staff meetings and work cooperatively and with positive communication with all colleagues and community partners.

EDUCATION/ TRAINING

Appropriate education or training to successfully communicate written and verbally in English to ensure positive and productive communication and operate telephones, and other job-related equipment.

PREFERRED EXPERIENCE

  • Bi-Lingual in English and Spanish strongly preferred

  • Experience with diverse and low-income clients strongly preferred

  • Experience operating multi-phone line systems, copiers and scanners

PHYSICAL/MENTAL FUNCTIONS

  • Entails intermittent sitting, walking, twisting, and bending.

  • Ability to physically travel 8 blocks round trip

  • Occasionally lifting up to 20 pounds.

  • Demonstrated ability to handle multiple interactions with diverse populations in a busy environment.

  • Requires accuracy, confidentiality, and good communication.

  • Make well thought out decisions in the best interest of the agency and clients.

  • Successfully manage personal emotions and stress in a high volume environment while still providing a positive experience to visitors.

  • Demonstrated cognitive and social ability to provide for compassionate and patient treatment of clients who may be experiencing difficulties or be in crisis.

  • Demonstrated ability to properly utilize assigned computer software and hardware to successfully execute the functions of the job.

  • Demonstrated cognitive ability to act as a quality and compassionate representative for KCR through personal behaviors and communications.

  • Able to pass a Washington State and Federal background check.
